- Editorial & Research Submissions: Abstract titles, structured summaries, co-author rosters, grant disclosures, and presenter defense preferences.
- Billing & Transaction Logs: Institutional billing addresses, VAT/tax IDs, and payment verification receipts. Full payment card details are processed directly via secure, PCI-DSS Level 1 compliant gateways and are never stored on colloquium servers.
2. Purpose and Legal Basis of Processing
Your information is processed under the following lawful bases:
- Contractual Performance: Processing delegate badges, confirming podium assignments, delivering accredited 14.5 Educational Contact Hour certifications, and reserving headquarters venue lodging.
- Academic & Editorial Governance: Coordinating double-blind peer reviews, publishing serialized DOI proceedings, and cataloging conference programs.
- Legitimate Professional Interest: Disseminating critical scheduling updates, session materials, and official invitation documentation for entry visas.
3. Third-Party Disclosures & Data Protection
We do not sell, rent, or trade academic attendee rosters or contact data to commercial third parties, brokers, or list aggregators. Delegate details are disclosed only to certified operational partners essential to conference delivery:
- Accreditation evaluation authorities for continuing education auditing.
- The official conference lodging venue for verified group room-block reservations.
- Secure technical processing engines (such as Web3Forms and accredited payment gateways).
4. Data Retention & Delegate Rights
Academic abstract dossiers and contact certifications are retained for regulatory auditing of continuing education contact hours.
