Terms of Delegate Registration
By completing formal registration, issuing an institutional purchase order, or submitting payment for PrecisionOnco 2027, the delegate, attending institution, or sponsor agrees to the following administrative and financial terms.
1. Registration Confirmation & Credentials
- Admission to plenary halls, breakout defense rooms, and catered networking receptions is strictly limited to credentialed pass holders.
- Badges are personalized to the registered individual and non-transferable on-site without prior written authorization from the secretariat desk.
- Clinical fellow and trainee discounted passes require official departmental verification (e.g., training program letter or active student/fellow ID).
2. Author Registration Prerequisite
For any accepted abstract (Oral Podium Defense or Moderated Poster), at least one contributing author must register for the colloquium to confirm scheduling within the proceedings and allocate physical board or podium defense time.
3. Cancellation, Substitution & Refund Policy
- Written Cancellations Received On or Before May 31, 2027: Eligible for an 80% refund of registration fees paid (20% retained for administrative and bank handling fees).
- Cancellations Received June 1 – July 31, 2027: Eligible for a 50% refund.
- Cancellations After July 31, 2027: Due to committed venue catering, printed compendiums, and room-block locks, registration fees are non-refundable. Non-attending delegates will retain digital access and compendium distribution.
- Delegate Substitutions: An enrolled delegate may nominate a colleague from the same institution at any time prior to October 1, 2027, with zero transfer fee.
4. Visas & International Travel Provisions
The organizing secretariat issues official institutional letters of invitation upon confirmed registration. It is the delegate’s sole responsibility to procure necessary United States entry visas. In the event of an official consular visa rejection (documented by embassy correspondence submitted before August 31, 2027), registration passes may be converted into full Virtual Access passes, with the financial difference refunded.
5. Event Alteration or Force Majeure
In the event of unforeseen natural disasters, government health directives, or force majeure events preventing physical assembly at the San Francisco headquarters, Catalyst Colloquia reserves the right to transition the assembly to a live synchronous virtual format. In such circumstances, obligations to deliver program content, peer defenses, and 14.5 Educational Contact Hours remain binding.
